4. Services and Fees
4.1 Scope of Services
Coherence Studios provides psychological assessment, consultation, and therapeutic services to individuals. The nature and scope of services provided will be discussed with you prior to commencement and outlined in your service agreement.
We reserve the right to decline to provide services, or to refer you to another practitioner, if we determine that we are not the most appropriate provider for your needs.
4.2 Fees
Current fees are available on our website and will be communicated to you prior to your first appointment. Fees are subject to change and we will provide reasonable notice of any changes.
Where applicable, Medicare rebates may be available under the Better Access to Mental Health Care Scheme with a valid GP referral and Mental Health Treatment Plan. Private health fund rebates may also be available depending on your level of cover. You are responsible for confirming your eligibility with Medicare or your fund directly.
4.3 Payment
Payment is due at the time of service unless other arrangements have been agreed in advance. We accept payment via the methods listed on our website. Unpaid invoices may result in suspension of future appointments until the outstanding balance is cleared.
5. Cancellation and Rescheduling Policy
5.1 Notice Required
We require a minimum of 48 hours notice to cancel or reschedule an appointment. This allows us to offer the time to other clients who may be waiting for support.
5.2 Late Cancellation and Non-Attendance Fees
The following fees apply where adequate notice is not provided:
- Cancellation or rescheduling with less than 48 hours notice: 50% of the session fee
- Cancellation or rescheduling with less than 24 hours notice, or non-attendance without notice: 100% of the session fee
For appointments scheduled on a Monday, notice must be provided by 9:00am on the preceding Friday. After this time, the 24-hour policy applies.
5.3 Medicare and Health Fund Rebates
Medicare and private health fund rebates are not available for late cancellation or non-attendance fees. These charges are your personal responsibility.
5.4 Exceptional Circumstances
We understand that unexpected situations arise. If you are unable to provide adequate notice due to an emergency or unforeseen circumstance, please contact us as soon as possible. We will handle these situations with care and on a case-by-case basis.
5.5 Our Cancellations
In the unlikely event that we need to cancel or reschedule your appointment, we will provide you with as much notice as possible and assist you in finding a suitable alternative time. We will not charge any cancellation fee in this instance.
6. Telehealth Services
Where services are delivered via telehealth (video or telephone), you are responsible for ensuring you have a suitable private space and a reliable internet or telephone connection. Coherence Studios is not responsible for technical difficulties on your end that disrupt a session.
Telehealth sessions are subject to the same cancellation policy as in-person appointments.
Sessions must not be recorded by the client without our prior written consent. Any unauthorised recording may result in termination of the therapeutic relationship.
7. Confidentiality and Professional Obligations
All information you share with us in the context of a professional engagement is treated as strictly confidential, in accordance with our Privacy Policy and applicable law.
There are limited circumstances in which confidentiality may need to be broken, including where there is a risk of harm to you or others, mandatory reporting obligations, or a legal requirement to disclose. These circumstances are outlined in our Privacy Policy and will be discussed with you at the outset of your engagement.
8. Therapeutic Relationship and Boundaries
Psychological services are provided within a professional therapeutic framework. We are committed to maintaining appropriate professional boundaries at all times.
Coherence Studios reserves the right to end or decline a therapeutic relationship if, in the professional judgement of the practitioner, it is not clinically appropriate or safe to continue. In such cases, we will endeavour to provide referral information and support a safe transition of care.

All content on this website — including text, images, graphics, and other materials — is the intellectual property of Coherence Studios or its licensors. You may not reproduce, distribute, or use any content from this website without our prior written permission.
10. Governing Law
